This policy will be revised when needed and reviewed in detail at least annually by the TIAA Education Committee Chair for consistency between policy and current practice.

Overview

The TIAA Education Committee is chartered by the TIAA Constitution and Bylaws. The TIAA Education Committee operates under the leadership of the Education Committee Vice President. The TIAA Education Vice President is appointed or reappointed annually by the TIAA President.

Mission

The TIAA Education Committee exists to plan, coordinate and deliver continuing education and information programs and seminars on topics of interest to TI alumni. TI retirees and former TIers are intended to be beneficiaries of these educational seminars and events.

Operational Roles and Responsibilities

The Education Vice President forms and maintains an educational committee to plan, coordinate, communicate and deliver periodic TIAA educational events. These educational events should be scheduled on a quarterly basis as a minimum.

The Education Vice President schedules periodic team meetings to evaluate and select topics of interest, schedule subject content speakers and facilities, and prepare and deliver pre- and post-event communications for the events.

The Education Committee as a minimum:

  • Supports and coordinates events which it develops and delivers and also supports and coordinates educational events where TIAA co-sponsors but does not serve as the primary delivery source.
  • Develops multiple sources of subject matter experts on general topics of interest to TI alumni. These sources of speakers are the primary source of presenters at events. As topics become broader in nature, additional sources of speakers must be developed by the committee.
  • Plans educational events in advance (9-12 months, where possible) to allow adequate time to identify and select content speakers, locate and secure facilities (4-6 months), coordinate event logistics and collect information and prepare and distribute notices and communication materials in advance of the event (2-3 months).  These lead times are needed to ensure that these events can be coordinated and communicated on a timely basis. Educational seminars or events will not be scheduled in the period two weeks before or one week after major TIAA events (TI Retiree Luncheon, Annual Business Meeting or Golf Tournament).
  • Uses the TIAA Communication Committee and TIAA Administrator resources for distributing notices before the event and for collecting post-event information references and information on the Internet and on the TIAA website. Where possible all presentation content and reference information on the topic should be made available on the TIAA website for reference by TI Alumni at a later date.
  • For selected seminars, such as the Annual TI Health Benefits seminar, send out postcards to the TI mailing list for retirees in Zip Codes in and around the Dallas area. Work with the TIAA Administrator to have the postcards printed and sent to the TI mailroom.
  • Notices of future events will be published via TI Alumni News and by TI eNotes and on the TIAA calendar. It is the responsibility of the TIAA Education Committee to provide the information for these notices to the TIAA Communications Committee on a timely basis to meet communications lead times. Advance notices for events will be announced in at least one TI Alumni News prior to the event.

TIAA Executive Committee establishes an expense budget for TIAA events scheduled as part of the Education program.  The Education Committee monitors expenses for events and seminars. Unfunded, special-education events require a request to the Executive Committee for additional funding in advance where funding is insufficient to support these special events.

There is normally no fee for attendance at TIAA Education events but registration is required in advance. The reservations to attend are made by the attendees with TIAA Administration by telephone or direct contact.  TIAA Administration maintains the list of attendees and contact information needed to notify registrants in case of an event cancelation.

Effectiveness

The Education Committee Vice President or his/her designated representative reports at each Executive Committee meeting on the Education Committee accomplishments, issues, budget and event plans.

The Education Committee monitors the effectiveness of the education seminars and events. The committee maintains a record of the events held, the cost of each event and the number of attendees at each event. Where possible, a survey of the attendees for the event is utilized and tabulated for reporting to the Executive Committee.
