This policy will be revised when needed and reviewed in detail at least annually by the TIAA Administrator for consistency between policy and current practice.

Overview

The TIAA Administrative Assistant (TIAA Admin) is the only paid position within the Texas Instruments Alumni Association.  The TIAA Admin normally works four hours a day with core hours of 9:30 a.m. through 1:30 p.m., Monday through Friday.  The TIAA office is located on the 2nd floor of the Dallas Texins Activities building. Admin attends TIAA meetings and events at other times and in other locations.  This is a part-time job which was approved by the Executive committee for 120 hours per month, and the TIAA Admin reports to the TIAA President.  The TI Admin receives an annual performance review in June.

Duties

The TIAA Admin is the central point of contact for information and referrals for both TIAA members and former TIers.  In addition the TIAA Admin also interacts extensively with the TIAA officers, TIAA committees, the Texans Association staff, the TI organization, the general public, The Senior Source, and vendors for seamless communications and operations.

The TIAA Admin possesses skills normally associated with that position; i.e.,

  • exhibits computer expertise,
  • handles email and voice mail and records a written record of such,
  • updates membership information
  • records deaths in TIAA database when notified of the date of the death of a former TIer,
  • keeps financial records in coordination with the TIAA Treasurer (additional details are available on the TIAA Guidelines for Treasurer,
  • liaisons with printers and Texas Instruments (TI) mail room for large mailings,
  • schedules conference rooms,
  • sends quarterly requests to TI for operating expenses and event contributions,
  • collects and handles U.S. postal mail from TIAA’s offsite post office box,
  • provides copies for various meetings,
  • inventories TIAA storage room,
  • maintains office supplies in a central location.

The TIAA Admin works closely with the volunteers in the five committees created by the TIAA By-Laws. These efforts are different for each committee.

  • Assists the Activities Committee (additional details are available on the TIAA Guidelines for the Activities Committee Vice Chairman) with:
    • Recording and distributing minutes of their meetings,
    • The TI Retiree Luncheon (TIRL),
    • The TIAA annual golf tournament (additional details are available on the TIAA Guidelines for the TIAA Golf Tournament),
    • The TIAA annual business meeting,
    • The Community Involvement Team Subcommittee (additional details are available on the TIAA Guidelines for the Community Involvement Team,
    • The Travel and Events Subcommittee (additional details are available on the TIAA Guidelines for the Travel and Events Subcommittee).
  • Assists the Communication Committee (additional details are available on the TIAA Guidelines for the Communication Committee) with:
    • Maintaining “In Memoriam” details of deceased retirees and former TIers,
  • Assists the Education Committee (additional details are available on the TIAA Guidelines for the Education Committee Vice Chairman).
    • Prepares post cards to announce seminars if necessary
  • Assists the Executive Committee with:
    • Ordering lunch for members upon request,
    • Recording and distributing meeting minutes in the absence of the TIAA Secretary.
    • Updating membership records when payment is received.
